Payroll accrual with AI: accrued wages, employer taxes, bonus and PTO at month-end
Calculate accrued wages for days worked but not yet paid, add employer taxes and benefits, roll forward bonus and PTO accruals, and compare the result to last month's true-up. People decide the estimates and approve the entry.
When to use it
Use it every month-end when the pay period straddles the end of the month, and at quarter-end and year-end when bonus, commission and PTO balances get more scrutiny. It's most useful when the accrual lives in a spreadsheet that copies last month's numbers forward, or when nobody has checked the employer tax rate since January.
Input data
- The payroll calendar: pay period start and end dates, pay dates and frequency (weekly, biweekly, semi-monthly).
- Payroll register summaries for the last pay period before month-end and, if it has already run, the first payroll after month-end. Use department or cost-center totals and employee IDs, not names.
- Employer tax and benefit detail: employer payroll taxes, retirement match and benefits as a percentage of gross wages from recent registers, plus year-to-date wages so wage-base caps can be considered.
- Bonus and commission plans: the accrual basis (target percentage, attainment estimate) and the prior month's accrual.
- PTO balances (hours and pay rate, or dollar balance) by employee ID or department, and your PTO policy (accrue, use-it-or-lose-it, payout on termination).
- Last month's payroll accrual and how it trued up against the actual payroll.
The prompt
Replace the [bracketed] items. Paste it with your files attached. It works in any capable assistant; tool-specific notes are in the steps.
Help me calculate the payroll accrual for [entity] for the period ending [MM/DD/YYYY]. I will review every number and decide what gets booked.
Attached: payroll calendar [file]; payroll register summaries for the pay periods spanning month-end [files]; YTD wages and employer tax/benefit detail [file]; bonus/commission accrual inputs [file]; PTO balances [file]; last month's accrual and true-up [file].
Policy: workdays basis [business days / calendar days]; bonus accrual basis [describe]; PTO policy [describe]; accrual threshold $[X].
1. Accrued wages: identify the pay period that straddles period-end. Count the days worked through period-end that will be paid after it, using the basis I gave you, and show the count. If the post-period payroll register is attached, use its actual gross wages for those days (best evidence). Otherwise, estimate from the last full pay period and say so. Show the calculation by department.
2. Employer taxes and benefits: apply employer tax and benefit rates to the accrued wages. Use rates derived from recent registers, and show how you derived them. Flag where year-to-date wages suggest employees have passed annual wage-base caps, because a flat rate would then overstate the accrual. Don't apply statutory rates from memory; use the rates in the files or ask me.
3. Bonus and commissions: roll the accrual forward (beginning + expense for the period − payments = ending) using the plan inputs. Show the assumptions separately so I can change them.
4. PTO: roll forward the accrued PTO liability (beginning + earned − used − paid out ± rate changes = ending). Flag negative balances and balances over any policy cap.
5. True-up check: compare last month's accrued wages to what the actual payroll showed for those days. Show the difference and what it suggests about this month's estimate.
6. Produce a summary by GL account and department, labeled "DRAFT JE – for review", with reversal noted if that's our policy.
7. List anything unusual: off-cycle payrolls, terminations with final pay or PTO payout, new hires missing from the register, retro pay, or a pay rate change effective this month.
Use only the data in the files. Do not invent rates, headcount or dates. If something is ambiguous, ask me.Steps
- Mask or remove names before uploading. Department or cost-center totals are usually enough; use employee IDs only where the PTO or bonus calculation needs them.
- Confirm the payroll calendar dates and the day count in step 1 yourself. Most payroll accrual errors are day-count errors.
- Run the prompt. If the post-period payroll has already run, insist on actuals over estimates.
- Review the employer tax rate derivation, especially in the last quarter of the year when wage-base caps start to bite.
- Agree bonus and commission assumptions with the plan owner or FP&A, and PTO balances to the HR or payroll system.
- Book the accrual through your normal JE process with the workbook attached. Next month, record the true-up result and adjust your method if it keeps missing in one direction.
Control map
What the AI may do, step by step. How ratings work.
| Rating | Step |
|---|---|
| Safe to automate | The day count from the payroll calendar, the arithmetic and the roll-forward layouts (re-performable). |
| Human review | Employer tax and benefit rates, the use of estimates versus post-period actuals, and the true-up analysis. |
| Never automate | Bonus and commission estimates, PTO accrual policy (ASC 710 for compensated absences), and approving or posting the entry. |
Audit trail
- Keep the payroll calendar, the register summaries used, the calculation workbook and the approval together.
- Document the estimate basis for each component. "Actual gross wages per the [date] payroll register for [n] of [n] days" is a basis; "AI calculated" is not.
- Keep the monthly true-up comparison. It's your evidence that the estimate method works.
- Payroll data is sensitive: store the workpapers with restricted access, and keep the AI chat export with them only if it contains no unmasked personal data.
Failure modes
- Wrong day count, from mixing calendar and business days, missing a holiday, or counting the pay date instead of the period end date.
- Flat employer tax rates in Q4. Once employees pass annual wage-base caps, employer taxes drop. A January rate overstates the December accrual.
- Double-counting when the accrual auto-reverses and the next payroll was already partly booked.
- Off-cycle and termination payroll (final pay, PTO payout, retro pay) missed because the model only sees the regular register.
- Stale bonus accruals that roll forward without a fresh attainment estimate.
- Personal data in the chat. Masking is the control; check the files before uploading.
Data handling
- Use a company-approved AI workspace whose terms say your inputs are not used for model training. Check your plan; don't assume it.
- Strip or mask what the task doesn't need: employee names, bank account numbers, customer PII, SSNs or TINs.
- If you are a public company, treat pre-release results as material non-public information and keep them inside approved systems.
